What is Project One?

Project One is UCSF’s business modernization project to align our business operations across UCSF and UCSF Health into one integrated system, powered by Oracle Cloud ERP. 

What business areas will be impacted by Project One?

Five business areas across UCSF Campus and UCSF Health will be impacted by Project One: Human Capital Management (HCM), Finance, Supply Chain Management (SCM), Research Grants Administration, and Student Information System. What is the timeline for Project One?

Project One kicked off officially in December 2024 after multiple PRE-ERP projects in the first half of 2024 that set the foundation for the project. As part of Project One, our new Oracle Cloud ERP system will be implemented in three phases. Each phase will introduce new components of our future system aligned with one or more business areas. What is an ERP System?

Enterprise resource planning (ERP) refers to a type of software that organizations use to manage day-to-day business activities such as human capital management, accounting, procurement, project management, risk management and compliance, and supply chain operations. ERP systems tie together a multitude of business processes and enable the flow of data between them. There are many ERP vendors that large-scale organizations use to manage their business operations. At UCSF, we have chosen Oracle Cloud ERP as our ERP vendor. 

Why was Oracle Cloud chosen as UCSF's ERP Vendor?

Oracle Cloud ERP is a leader worldwide in delivering cloud-based solutions for their clients. After a comprehensive selection process, including several “open house” sessions to gather feedback from the broader UCSF community, UCSF leaders determined that Oracle Cloud ERP is best suited to meet the unique needs of UCSF. Why are we moving to a cloud-based system? What are the advantages of a cloud-based system vs. on-premise software?

Our current PeopleSoft system is at the end of its lifecycle and will be sunset as part of Project One. This, combined with the large number of systems used at UCSF, provides an opportunity to build a central integrated cloud-based system that will interface where needed with other systems. Modern software is now cloud-based, allowing for easier updates and eliminating much of the cost of maintaining on-premises systems, all while providing best-in-class security.  

How were project team members selected to ensure coverage for the full UCSF Community?

Building our new cloud ERP system is a collective effort touching all areas of UCSF. The project leadership team designed a governance model to ensure representation from across UCSF. The Project One Delivery Team is using a representative model that involves communications and engagement to cascade from direct project members to connect with the full UCSF community. In addition to the direct project members assigned to roles on the project, we are also building a Change Network and Advisory Group model to further involve members across UCSF. We look forward to sharing more about these groups in the future. 

I use specific systems to do my job. What will happen to our current systems?

The project team, including our Implementation Partner, Deloitte, will conduct a complete analysis of all work processes and associated systems that are currently used across UCSF. After that analysis is complete, a decision will be made about which systems will remain active after the launch of Oracle Cloud and which systems will be retired. The Oracle Cloud system is designed to integrate with other systems where it makes sense. For example, we know we need to integrate with UCPath with our new Oracle ERP solution. 

How will our ERP system work with UCPath?

UCPath remains the system of record across the UC System. Our Oracle Cloud ERP system will integrate with UCPath to allow UCSF to maximize the use of our new system while assuring seamless integration with UCPath.
